The RACI Professional Conference Organiser

 

The RACI's in house Professional Conference Organiser (PCO) can manage the logistic aspects of your conference allowing you to concentrate on the message you wish to convey to your participants and/or guests. Having a PCO from RACI will ensure you are dealing with a professional who has the right contacts and knowledge to ensure the success of your conference.

We take pride in our proactive management methods. We offer the highest level of personal involvement, attention to detail, in depth planning and a strong motivation to make each conference the best in our industry. RACI's PCO possesses specialist skills and resources that enable the PCO to work with our industry clients to achieve set objectives.

Conference Management

Let us do all the running around, sourcing quotes, negotiating with suppliers, liaising with exhibition companies and technical personnel. We prepare the conference, however you are still involved in making the decisions.

Levels of Service

We are unique in that we offer a variety of levels of service, depending on the size of the conference and how much support you require. It starts at Level One which is the basic conference support, through to Level Three which offers full conference management.

LEVEL ONE


Venue and Social Activity Management

. Co-ordinate venue requirements such as room set up, secretariat room, programs, speaker needs, food and beverage requirements, confirm delegates, co-ordinate stage sets and audio visual requirements
. Source and arrange venues for social activities
. Source and arrange theme, entertainment and decorations as required

Online or Fax Registration

. Design of online/fax registration form
. Management of registrations (including amendments as required by the delegate)
. Process payments for individuals registrations
. Personalised email of acknowledgement to each delegate

Audio Visual Equipment Selection & Negotiation

. Obtain quotations from audio visual companies
. Liaise with the venue manager regarding audio visual facilities
. Liaise with the speakers regarding their individual audio visual requirements

LEVEL TWO


Level One plus the following:

Brochure & Printed Material Assistance

. Assist with preparation of all brochures and printed material
. Liaise with conference committee to develop the brief for the designer
. Arrange the production of the brochure
. Obtain quotations from printing companies and organise printing

Satchel Ordering & Filling

. Assist with selection and the purchase of conference satchels
. Obtain quotations for any other promotion items required
. Assist with production of name tags, tickets & delegate listings for functions

Speaker Sourcing & Management

. Administration of all aspects of speaker involvement
. Correspondence and ongoing follow up with speakers regarding audio visual requirements, presentation needs and travel bookings
. Advise venue manager of speaker requirements

LEVEL THREE


Level One & Two plus the following:

Sponsorship Assistance & Management


. Develop and distribute the sponsorship proposal in liaison with the conference committee
. Contact potential sponsors (a list to be supplied by the conference committee)
. Monitor proposal responses and make recommendations for follow up
. Ensure sponsors entitlements are met

Onsite Conference Management

. Registration desk management
. Co-ordinate all venue requirements including checking conference sessions, catering arrangements, venue signage, audiovisual and speaker times.
. Ensure exhibitors requirements are met

Trade Show Management

. Obtain quotations from exhibition contractors
. Assist with preparation of floor plan
. Liaise with exhibitors regarding stand set up and dismantle times, booth sizes and invoicing.
. Compilation of exhibitor profiles for exhibitor directory
. Signage coordination

Marketing

. Arrange for promotional advertisements in relevant publications
. Liaise with appropriate industry bodies to seek publicity for the conference
. Write press releases
. Assist with marketing your conference at other related conferences to achieve higher delegate numbers
